Corona Virus Info - Posted 13 March 2020 We have had no indication from any circuits that track days will be postponed. As it stands all our driving events remain unaffected! Important please read the following track day corona guidence.

21/03/20 – All events are continuing to operate with the measures below in place

As you can imagine the hot topic at the moment is Covid-19 so here is what you need to know regarding that and Javelin Trackdays. Unless you receive an email stating otherwise then all events are proceeding as planned with some extra precautions in place to minimise contact risks.

We understand that many people are concerned for events but if there is any change then the very first thing that we will do is email all the participants on that event to inform them of a change, secondly we will update the website to reflect this change. Please ensure that you have checked both your email and the website for news, calling the office will not yield any further information that is not already listed in those places and we will notify you as soon as there is any official news at all.

If you are unsure of what to look for then you can find the symptoms of Covid-19 via the following link https://www.nhs.uk/conditions/coronavirus-covid-19
If you are showing any of these symptoms then we ask that you do not attend the event and if you have been advised to self isolate then let us know via email prior to the event and we will add a credit to your account for a future event. If we get to the stage where events are suspended due to Covid-19 then everyone booked on with be issued with a full credit as all circuit calendars are going to end up changing everywhere in response ready for when things resume again.

If you are not able to attend an event then we ask that you complete the Cancellation Request Form on our website and make any note that you feel are needed in the comments section, please note that this is the only method that we will accept attendance notifications as it enables us to easily keep track of them.

Signing On

Print your driver/passenger forms at home and bring them along to the event already filled in, this will help minimise contact risks on the day. You can find the link to all forms and instructions in the instructions email that is sent out as well as a tab on every single event page on the website.
If you do have to fill a form in on the day then we advise that you bring your own pen, although disposable pens are available at signing on as well.
Use the hand sanitiser that is provided before touching pens or signing on to decrease the risks of contact.
Avoid grouping together too closely during the signing on period.
Get there early and not just within 15 minutes of the briefing time to stop people bunching together.
We need to see your driving licence at signing on but please remove it from your wallet and show it to us, do not hand it over unless requested.

Briefing

We don’t want a lot of people gathering in one place so depending on the circuit you may find the briefing taking place outside or in different locations to where they usually are.
Passengers do not need to attend the safety briefing unless they are going to change to a driver later on so there is no need to attend.
The biggest bit, if you have attended a Javelin Trackdays event briefing at that circuit before and within 18 months then you can avoid the briefing altogether by simply reading some pertinent information displayed at signing on and signing your form as instructed. This means that briefing attendees can be cut by as much as 70%, significantly reducing any risks to those who do have to attend. You still have to attend signing on at the normal times though.

Lunch

Circuits are putting their own measures in place to minimise contact i.e. serving lunch over a longer period to spread people out but remember that a lot of the circuits also give you the option to have your food to go so you can eat it elsewhere if you so wish.

Additions

Instruction will not be taking place on our events for the present time due to the risk of close contact.
Helmet Hire is no longer available due to the risk of contact spread.



Other than that we simply ask that you make use of the facilities and wash your hands on a regular basis throughout the day. At the moment attending a trackday should pose no more risk than any other activity in terms of Covid-19 but we will be working closely with the circuits to monitor the situation as it develops and will let you know of any changes that may occur.
Mazda On Track

We, along with other Track Day providers are monitoring the current situation and government and medical advice. At this moment in time our events are going ahead on the basis that these are low density, out door events and that they can be managed in line with the current personal recommended separation limits. We will have special measures in place that will be different to what you would be used to typically. We will send these out via email to all customers attending the day.

While we very much want to still have track day fun our customer safety is paramount and we would ask, in line with medical advice, that any customer that has any contact with people from high risk areas or show any symptoms of the virus refrain from attending the event. If you do fall into this potential group then we will provide you a full credit for one of our future events.

In the event that we have further information or that movement control measures are put in place then we will inform all customers as soon as we can.

MSV TRACKDAYS – HOW WE ARE RESPONDING TO CORONAVIRUS (COVID-19)

Following the latest advice from government on social distancing, we are putting streamlined procedures in place to minimise the need for contact between people on our track days. These include:

Registration/indemnity forms with driver/rider and emergency contact information will be completed in advance. These are attached to your final joining instructions email just prior to your track day.
Post office style 'screens' are being installed at the registration points at some circuits, booths or alternative locations at others.
Participants will be required to put on their own wristbands at registration.
There will be no need for physical licence checks (you will be able to self-declare on the registration/indemnity form instead)
We request that only participants and essential helpers attend.
We’ll be operating phased briefings with smaller groups (some will be in the open air) with no briefing wristbands required. The decision on open air or phased briefings for your track day will be indicated in the final joining instructions and confirmed at registration.
No briefing will be required for experienced rider/drivers, i.e. if you have participated in a track day at that circuit within 18 months, subject to significant changes in weather or track-conditions
The helmet hire and in-car instruction options have been removed until the end of April.
We request that only customers that are booked in and essential helpers attend the track day.

We will provide more detailed information in the coming days. These measures will be in place until further notice.

IMPORTANT: If you have any symptoms of Coronavirus as per the NHS website (see here) you must not attend a trackday. Furthermore if you have been advised to self-isolate then please contact us in advance of the event and we will add a credit to your account for a future track day.

Should the situation evolve and it is not possible for us to operate a track day due to the Coronavirus, we will automatically issue a credit for the full amount of your booking, valid for 12 months.

Due to Covid-19 affecting many events in Europe and the UK we have added this note to out terms and conditions.

These amendments will be in force until 1st September 2020 and supersede all other terms & conditions :

Should any Uk events be cancelled due to the effects of Covid-19 you will receive a full credit note, for the full sum paid this credit note will last until 31/03/2021

Should any European events be cancelled due to the effects of Covid-19 you will receive a full credit note for the full sum paid this credit note will last until 31/12/2021

URGENT - Tomorrow's BIKE track days at Cadwell Park, Brands Hatch and Donington Park have just been CANCELLED. We are emailing all customers. Full credits will be issued automatically in due course.
The office is closed so please don't try and call. We are busy trying to make everyone involved aware so messages and questions on social are not going to get a reply, but please do check back here and on the MSVT website for any future updates.
Some customers may already be on the road so please pass on the word.

And this on Mazda on Track:

It is with a huge mixture of emotions and a heavy heart that we have decided we must cancel the track day scheduled at Blyton Park, next Saturday 28th. It is not a decision we have taken lightly but in the face of ever more serious medical advice and exponentially increasing infection rates we cannot in good conscience run this day, subjecting you, our customers, our staff, circuit staff and ultimately, the wider public and population in general to addition risk of exposure to Covid 19. Our next Blyton event is schedulled for mid-July. We all hope the situation will be much improved by then and the cancelling of this earlier event will be a steppingstone towards that.

Latest Cancellation from a Circuit :( - Events Team

Good Morning.

Unfortunately I have to inform you that I have just spoke to Anglesey Circuit and they will be shutting down all Trackdays for the time being until it is safe to re-open the circuit.

We are back there on June the 8th and we hope this will be going ahead. I have already asked the Circuit should they have any more free dates in their calendar after they re open Opentrack will be more than happy to take some.
I feel that now it is a time to support the smaller circuits and the motorsport businesses here in the UK.

I understand that this will be a great disappointment to many people however we have to support the Circuit in their decision at this time.
Your “Ticket / Booking” is now explained below.

Opentrack are offering a full credit note for all funds paid for this event, and the credit note is valid until 31/12/21 at any of our events.

To claim your Credit note all you have to do is :

1) Pick a date from our webiste www.opentrack.co.uk

2) Email me at opentrackcredits@gmail.com

3) Tell me what date you would like to attend and please include the original order booking number and the name that the booking was in.

4) I will confirm your space as soon as possible, but please bear with me as it is a little busy here at the moment.

Again I am very sorry that this action has to be taken today but at times like these I can fully understand why the circuit have made this decision.

I am aware that another Issue for many was some of the local hotels were forced to close making it hard for drivers to stay overnight.

I would also just like to say a quick ’Thanks” for all the messages of support recently to me and everyone involved with Opentrack.
I wish you all well and that you and your families stay safe at this time.

Covid19 Suspension
It is with mixed feelings that we announce the majority of circuits have now seen sense and cancelled Trackdays until 30th April 2020. Relief, that we can now be seen to be supporting and conforming to government advice on social distancing and not giving reason for unnecessary travel, etc. However we are also sad that we have to stop the activity that we all love. Our website will be your definitive source of information throughout this period so please refer back to there for updates.

What happens now?
Don’t worry, we have been preparing for this possibility for the past few weeks so everyone will automatically be issued with a Full Credit with a 10% Bonus or have the option to request a Full Refund if you prefer as we know it’s going to be a tough time for a lot of you, so see the sections below for all the details.

Third Party Bookings – You will need to contact the booking agent trackdays.co.uk directly to resolve your booking as unfortunately we are unable to resolve these requests on your behalf. If your reference/order number starts with the characters TD011xxxxx then you have not booked directly with us.

Keep a credit, get a bonus 10%
As a thank you for your continued support in leaving your booking as a credit towards a future event we will double your rewards points for that event rather than removing them which means that you will effectively get an additional 10% on top of your credit when you come to use it again. You’ll also get the normal 5% in rewards points from whichever event you rebook as well to help you get back on track once we get though this.

Credits – Well the first thing that we will do to ensure that no-one actually loses any money is we will start going through all of the orders up until the end of April and marking them as credits on your Javelin Trackdays account, this will apply to everyone as it ensures that nobodies order is misplaced or forgotten. So over the next couple of days you will see several emails arrive directly from our website notifying you of changes to your account balance and rewards points balance, you will get these whether you have requested a refund already or not so there is no need to query them as it’s an ongoing process. If you believe that the amounts that have been credited are incorrect then please let us know but in cases where there are not enough rewards points left on the account they will be deducted from the credit instead so that is likely to be the cause of any small differences you may notice. We will start on the earliest cancelled event working through them in order through to the last which will take a couple of days. Credits on our website have no expiry date and when you wish to use them you simply book events as normal and the credit is automatically used at the checkout.

Refunds – As the events have been cancelled you have the option to request a refund if you so wish. If you wish to request a refund then we will only accept requests made by completing the form below, this ensures that we get the information we need in a manageable format that we can easily keep track of. We will work through your refund requests in the order they are received so they should be completed within 4-5 days ideally but please note it may be up to 14 days before we can process your request in some instances as there will be a large amount of request to get through initially so please be patient. You will receive an email confirmation from ether Paypal our ourselves once your refund has been processed.


Please note that bookings made via the following payment methods cannot be refunded and will be returned to your account as credit instead.
  • Bulk Buys
  • Gift Vouchers
  • Rewards Points
  • Previous Credits
If you are requesting a refund and ordered before 14th Feb 2020 please take the time to check your order confirmation first and if it states ‘Worldpay’ as the payment method then you will need to provide us with either your bank account/sort code or a Paypal email address as Worldpay is no longer in use. you do not need to complete that section if you paid via Paypal.

Chargebacks/Claims – We ask that you all work with us during this period and we will get through your requests in a timely manner but there are always one or two unfortunately who think that raising a case with Paypal or their bank will be easier. If you do this then not only will you make everything more complicated, your request will be placed at the back of the queue and you will find it will take substantially longer to process than going via the proper channels. Chargebacks will also incur additional fees and these will be applied to your account as Javelin Trackdays will not be responsible for additional fees incurred by your own actions. It’s a shame that we have to state this but unfortunately we do.

Vouchers – If you’ve received a gift voucher then you’ve got two options, you can either send us an email with your Javelin Trackdays account details on and the voucher codes you have and we will add them as a credit onto your account for you to use later or you can just hold onto them as any period of stoppage will just be added onto the vouchers existing expiry date.

What about future events?
At the moment we are only stopping until 30th April but this is a progressing situation so for events from May onwards we will look at each event two weeks before it is due to take place and then depending on the result then either the same procedure as above will be actioned or the event will run normally but we will email everyone to let you know and update the website accordingly, until that though point all bookings are still in place and the normal terms and conditions will apply. I’m sure many of you will be concerned about events from May onwards but keep an eye on this page and the front page of our website and we’ll keep you up to date with any changes. If you do have events planned for after this shutdown period then as always we advise that if you make any bookings for accommodation, etc. it is always worth paying a little extra for the flexibility of moving it just in case things change.

At the end of the day you are all valued customers and we want to keep you as such. Javelin Trackdays isn’t going anywhere and we look forward to welcoming you back on track when we eventually come out the other side of this, no matter how long it takes. Stay safe.

MSV statement:

MSV ceases all circuit activity from 18:00 today, 23 March, until 30 April

Following the previously announced decision to stop all motor racing events in the UK until 30 April, MSV now confirms that in line with latest guidance from the Government, all circuit activity at its six venues (Brands Hatch, Donington Park, Oulton Park, Snetterton, Cadwell Park and Bedford Autodrome) will cease from close of business today, 23 March, until 30 April inclusive. We will keep that date under review over the coming weeks as the guidance from Government evolves.

Please see below details of arrangements for the various events and activities across the MSV circuits during this and any extended period of closure:

Event tickets/season passes
As previously advised, all motor racing until at least 30 April has been suspended and those affected events have been postponed. All tickets will be valid for the rescheduled events. If you let us know that you can't make the rescheduled date once it’s been announced, you will get a refund. If an affected race meeting is not rescheduled, you will automatically get a refund.

We will review the effect on season pass holders throughout the season and ensure that any significant loss of entitlement is managed fairly.

MSVT trackdays (including licence tests)
Everyone who is booked to attend an MSVT track day before 30 April will receive an automatic credit to use against a future date.

Third-party trackdays (No Limits, Javelin etc)
Everyone who is booked to attend a third-party trackday before 30 April should visit the organiser’s website for further information.

Testing
Everyone who is booked to attend a general test day before 30 April will receive an automatic credit to use against a future date.

Driving experiences
Everyone who is booked to attend an MSV driving experience (F4 Master, Rally Master etc) before 30 April, will be able to book a replacement date in due course. Any vouchers that are due to expire will automatically remain valid until three months after driving experiences resume.

Customers of the PalmerSport event will be contacted separately regarding arrangements at Bedford Autodrome.
